WHAT DOES MY RENTAL INCLUDE?
Rental of Brookfield Estate includes exclusive use of the grounds, the carriage house, two pasture fields, the dressage ring, the smoke house, outhouses, the bride’s and groom’s cottages, the outdoor courtyard outside of the main house, the main house kitchen, and unlimited parking. Use of the main residential house (excluding the kitchen) and the front and back porches is strictly prohibited. (Porches may be used for photographs upon written request and approval by both parties.) No one is allowed in any part of the main house residence at any time during the event, except for the caterers who may use the kitchen only. The carriage house will hold approximately 30-40 people. Brookfield Estate grounds can accommodate unlimited individuals to share in your special event! The Friday/Saturday and Saturday/Sunday rental of Brookfield Estate also includes overnight accommodations in our two historic cottages (approx. accommodations for 5 people total) for the wedding party.

For wedding ceremony rentals, the rehearsal is to be held within the week prior to the wedding ceremony at Brookfield Estate. You will be allotted a four-hour block for your rehearsal. Please contact Brookfield Estate if you need to make alternate arrangements or if you would like to add time for your rehearsal dinner for an additional fee.

CHECKING IN:          
Brookfield Estate will be open at 7:00am the day of your rental. Please contact Brookfield Estate if you have questions/concerns about your check in.

CHECKING OUT:
For single day rentals you may not stay past 12:00am, unless otherwise agreed upon in writing. A $100.00 an hour fee will be imposed if you exceed the checkout time without prior approval. The overnight rental allows you to stay until 11:00am the following morning.

SET UP:
The renter is responsible for the setup and takedown of the rehearsal dinner, wedding ceremony and reception.

CLEAN UP:
It is the renter’s responsibility to ensure that your bridal party, guests, and vendors leave the grounds, all buildings and the entire property as it was found, including removal of all rented furniture and equipment and all trash on the premises.

RULES & REGULATIONS:
Any violations or infringements of these rules and regulations listed herein may result in the forfeiture of all or part of your rental fee.

The House and Grounds :
Brookfield Estate reserves the right to eject any objectionable person from the premises. No illegal drugs are allowed anywhere on the premises. No fires may be built in any fireplace nor may they be built anywhere on the property with the exception of the fire pit located in front of the pole barn. Additionally, the use of fireworks or Chinese lanterns is not allowed on Brookfield Estate property. Absolutely no smoking, vaping, or e-cigarette devices are permitted inside any buildings or structures on the property.

Smoking (including vaping and the use of e-cigarettes) inside or disposal of cigarette butts inside will incur an automatic charge of $500.

Confetti and rice may not be thrown or be brought inside the carriage house or cottages. Sparklers may only be used outside and should not be lit inside. You are required to provide sand and a bucket for proper disposal of used sparklers. Everyone must refrain from driving on the grass. Vehicles can access the parking field via the designated vendor path.

Animals including dogs, cats, and other domestic tame animals are welcome on the property but must be approved ahead of time by Brookfield Estate, must be leashed at all times, are NOT allowed inside the cottages. No wild animals are allowed on the property. Renter agrees to clean up after any animal that is brought to the property specifically picking up feces in a bag and disposing of it in a proper waste container, and agrees to pay for any damages caused by the animal/s.

Vendors:
Brookfield Estate does not require you to use particular vendors for your event; renters may use any caterer, rental company, florist, entertainment, etc. It is the responsibility of the renter to provide copies of contracts with these hired vendors to ensure they are familiar with the rules and regulations. If damage is caused or rules and regulations are violated, the renter will be monetarily responsible to pay for these damages. If desired, we can provide a list of recommended vendors.

To preserve the aesthetics of the grounds, Vendors may access the property by driving between the dressage ring and the front pasture on the designated driveway and then following the gravel road to the vendor areas. This is for loading and unloading only. All vehicles must be parked in the designated parking area after loading and unloading.

Caterers:
Caterers are responsible for supplying necessary equipment (dishes, serving utensils, paper towels, Ziplock bags, aluminum foil, garbage bags, etc.) Caterers are also responsible for cleaning up after themselves and the guests. This includes but is not limited to: washing dishes, properly disposing of food, taking out the trash, etc. Brookfield Estate does not provide food or drinks and is therefore not responsible for any food or drink related illness that occurs from consumption of these said items during the event.

Alcohol:
Brookfield Estate does not sell, handle, or serve alcoholic beverages. Alcohol may be supplied by the renter and served on the grounds by a designated bar tender. If you plan on serving liquor, a security guard must be present for the duration of the reception. Brookfield Estate reserves the right to close the bar(s) and/or serving of alcohol if it appears necessary to protect the facility and the safety of the individuals. Your bartender(s) must adhere to the law when serving alcoholic beverages. The bar(s) must close 1⁄2 an hour before your event ends. All kegs must remain outside.

An alcohol authorization and indemnification agreement must be signed in advance.

Music:
Music and dancing are allowed on the property. Instruments, deejays, and bands are also welcome. Amplified music will be monitored by Brookfield Estate. You will be asked to lower the volume if the music gets too loud. Monitored music includes but is not limited to: stereos, speakers, bands, deejays, electric keyboards, electric guitars, drums, etc.

Photography & Media:
Renter agrees to share photographs and video taken on the grounds during the event for possible use on the Brookfield Estate website and/or in printed publications and materials. Renter agrees to share media within 90 days after the event.

INDEMNIFICATION

Force Majeure:
Neither Party will be liable for any failure or delay in performing an obligation under this Agreement that is due to any of the following causes, to the extent beyond its reasonable control: acts of God, accident, riots, war, terrorist act, quarantine, civil commotion, breakdown of communication facilities, natural catastrophes, governmental acts or omissions, changes in laws or regulations, national strikes, fire, explosion, generalized lack of availability of raw materials or energy. Force Majeure shall not include the novel coronavirus Covid-19 pandemic which is ongoing as of the date of the execution of this agreement, unless the government strictly prohibits gatherings that include the number of people to attend this event.

For the avoidance of doubt, Force Majeure shall not include (a) financial distress nor the inability of either party to make a profit or avoid a financial loss, (b) changes in market prices or conditions, or (c) a party's financial inability to perform its obligations hereunder.

Renter agrees to comply with government regulations regarding social distancing, sanitation and mask wearing guidelines as required by law on the date  of the event and agrees to hold Brookfield Estate LLC harmless in the event of a Coronavirus outbreak as a result of this event.

Alcoholic Beverages:
Brookfield Estate will not pick up, handle, serve or sell any alcoholic beverages - It is understood and agreed that Renter may serve beverages containing alcohol (including but not limited to beer, wine, champagne, liquor, etc. by way of example) hereinafter called “Alcohol”, upon the following terms and conditions: (1) Renter shall not permit any person under the age of twenty-one (21) to consume alcohol regardless of whether or not the person is accompanied by a parent or guardian. (2) Renter hereby agrees to furnish no less than one (1) bar tenderer for every one-hundred (100) people present at the event. Said bar tender(s) shall adhere to all federal and state laws regulating the sale and service of alcoholic beverages. Furthermore, said bar tender(s) is/are not to serve any individuals that are underage, appear inebriated or under the influence of too much alcohol. No alcohol shall be available to guests other than through said bar tender(s) (3) Renter hereby agrees to use their best efforts to insure that alcohol will not be served to anyone who is intoxicated or appears to be intoxicated. (4) Renter hereby expressly grants to Brookfield Estate LLC the right, at Brookfield Estate LLC’s sole discretion and option, to instruct the uniformed officer(s) (if one is present) to remove any person(s) from Brookfield Estate LLC, if in the opinion of Brookfield Estate LLC representative in charge, and/or the uniformed officer(s) the person(s) are intoxicated, unruly or could present a danger to themselves or others, and/or Brookfield Estate LLC. (5) Renter hereby agrees to be liable and responsible for all act(s) and actions(s) of every kind and nature for each and every person in attendance at Renter’s function or event. Further, Renter hereby agrees to hold Brookfield Estate LLC harmless and to completely indemnify Brookfield Estate LLC and all members in the event of any lawsuit(s) and/or cause of action(s) initiated and brought against Brookfield Estate LLC, in the event of accident, injury, and /or death to anyone, regardless of whether or not the accident, injury and/or death occurred at Brookfield Estate LLC or off the premises of Brookfield Estate LLC and regardless of whether or not the consumption of Alcohol was involved or alleged to have been involved in the accident, injury and/or death. (6) Renter hereby agrees to be responsible and liable for the enforcement of the terms and conditions upon which Alcohol may be served at Brookfield Estate and Renter further acknowledges that Brookfield Estate LLC shall have no responsibility or liability to either enforce or assist in the enforcement of such terms and conditions.
